In the very near future the Northern Branch Secretary position will become vacant. The Northern Branch is looking for an individual who has the enthusiasm to promote the NVS and support the Northern Branch going forward with the times & current trends.

The following is a brief description of the secretay's role & resposibilities; 

Trustees: represent the Northern Branch at Trustee meetings (via Zoom) if required.

Organising meetings: Preparing agendas, issuing notices, and ensuring meetings are conducted in accordance with the NVS.

Meetings - Most of our meetings are now on ZOOM which is a significant improvement to attending ‘face-to-face’ meetings. The only meeting which currently must be ‘face-to-face’ is the Annual General Meeting which historically held at Horbury WMC.                      4 Committee meetings are held each year (March, June, October, December), most follow a Standard agenda.             

Taking minutes: We have chosen to appoint a minute secretary, so the secretary doesn't need to take the minutes.

ZOOM subscription – The subscription which is in my name, runs from April to March,  I usually receive notification of renewal in February/March.

Maintaining records: Keeping accurate records of meetings, membership, and correspondence.

Ensuring compliance: Following the NVS constitutional procedures and maintaining transparency and accountability.

Correspondence – all correspondence should come through the Secretary although in practice this doesn’t always.

Northern Branch Championships – This is by far the item that takes up a significant part of the role. Organising Judges, Booking hotel rooms (Where necessary), writing letters to the judges confirming their appointment, sending letters, tickets, expenses sheets, directions to hotel and showground,  hotel bookings etc prior to the event. Liaising with Harrogate Flower shows (Nick Smith and currently Sue Meredith).

The above role description may look onerous but the majority of the tasks just fall into place with a little nurturing and planning from the Secretary. The role isn't a stand alone/one person job, all exsisting Northern Branch committee members help/support where ever possible.
